About the Role
The Executive Assistant I provides high-level administrative support to senior executives in the C or D band who report directly to an Affiliate President or to a senior executive in the B band. This role relieves executives of a wide range of administrative duties—often highly confidential, diversified, and complex—while serving as a liaison with internal and external stakeholders. Strong initiative, judgment, and discretion are essential.
General Function
Perform administrative support functions to enable executives to focus on strategic and leadership responsibilities.
Handle sensitive and confidential matters with professionalism and discretion.
Act as a primary contact point for executive-level communications and coordination.
Support organizational effectiveness through efficient administrative processes and strong executive partnership.
Essential Duties & Responsibilities
Provide full administrative support to the assigned executive, exercising judgment and initiative.
Administer programs, projects, campaigns, and processes for the operating unit served.
Manage executive schedules, including appointments and travel coordination.
Screen and direct incoming calls, determining which can be delegated and which require executive attention.
Prepare administrative reports, gather sensitive information, compute statistics, and distribute reports.
Greet and assist internal and external customers, addressing inquiries of a complex nature.
Handle incoming and outgoing correspondence, ensuring timely and accurate responses.
Coordinate and arrange meetings, including agenda preparation, facility reservations, and logistics.
Communicate with key executives, board members, and external management personnel to share information and obtain data.
Draft, edit, and finalize letters, reports, and other correspondence.
Organize and maintain confidential file systems and records.
Minimum Knowledge, Skills & Abilities
High school diploma required; additional business college coursework preferred.
Minimum of 5 years of secretarial/administrative experience, including at least 3 years within the company.
In-depth knowledge of company policies, procedures, and operations.
Strong written communication skills for drafting, editing, and proofreading correspondence.
Proficiency in Microsoft Office (Word, Excel, and related tools).
Ability to handle confidential information with discretion and professionalism.
Strong organizational and time management skills with attention to detail.
